What Size Screen Do You Need for Your Event?
Choosing the right screen size for your event isn’t just a technical detail—it can make or break how your audience experiences your content. Whether you’re planning a corporate conference, awards evening, or private event, getting the screen size right ensures everyone can clearly see, engage, and stay immersed.
At Bucks AV & Lighting, we regularly help clients choose the perfect setup, and it often starts with one key question: how big should the screen be?
Why Screen Size Matters
If your screen is too small, guests at the back will struggle to see key details. Too large, and it can overwhelm the room or feel disproportionate. The goal is simple: every guest should have a clear, comfortable view without straining.
A well-sized screen:
Improves audience engagement
Enhances professionalism
Ensures important content (like slides, videos, and branding) lands effectively
The Golden Rule: Viewing Distance
A good rule of thumb in the AV world is:
Screen height should be approximately 1/6th of the distance to the furthest viewer
So, if your audience sits 12 metres away at the back:
Ideal screen height = ~2 metres
Which equals roughly a 150–180 inch screen (diagonal)
This simple formula helps avoid guesswork and ensures clarity across the room.
Recommended Screen Sizes by Event Type
Small Meetings (Up to 20 People)
For intimate settings like boardrooms or team meetings:
Screen size: 55” – 75”
Best for: Presentations, Zoom calls, internal discussions
A large TV or small LED screen is usually perfect here, no need for projection unless you’re going for a premium feel.
Medium Events (20–100 People)
This is where projection screens start to shine:
Screen size: 100” – 180”
Best for: Seminars, training sessions, networking events
Depending on the room layout, you might even consider dual screens so everyone gets a good view.
Large Conferences (100–300+ People)
For bigger audiences, visibility becomes critical:
Screen size: 180” – 300”+
Best for: Conferences, panels, product launches
At this scale, we often recommend LED video walls instead of projection. They’re brighter, sharper, and perform better in well-lit rooms.
Awards Nights & Gala Events
These events are as much about atmosphere as visibility:
Screen size: 200” – 400”+
Best for: Awards, entertainment, branded visuals
LED walls are ideal here—not just for visibility, but for creating a high-impact, premium look.
Outdoor Events
Outdoor setups bring extra challenges like daylight and distance:
Screen size: 300” – 600”+
Best for: Festivals, outdoor cinemas, large-scale events
Projection rarely works well outdoors in daylight, so high-brightness LED screens are the go-to solution.
Projection vs LED Screens
It’s not just about size—the type of screen matters too:
Projection Screens
Cost-effective for indoor use
Great in controlled lighting
Ideal for small to medium events
LED Video Walls
Ultra-bright and vibrant
Perfect for large audiences or bright environments
Seamless, modern look
Final Thoughts
Choosing the right screen size comes down to three key factors:
Audience size
Room dimensions
Viewing distance
Get those right, and your content will look sharp, professional, and engaging, no matter the event.
If you’re unsure, that’s where we come in. At Bucks AV & Lighting, we design tailored AV setups to suit your venue, audience, and goals, taking all the guesswork out of the process.
